How transaction detail works?
Both the Solo Stream and Fleet Flow plans use a summarized vendor-bill method by default. Routine purchases are grouped into clear categories such as Chemicals, Parts, and Supplies.
This method keeps monthly bookkeeping efficient while still providing useful category-level reporting and class-based visibility.
Optional add-on: Detailed Vendor-Bill Tracking
Both monthly packages use the summarized method by default. Clients who need deeper item-level visibility may add the Detailed Vendor-Bill Tracking service to either plan.
This add-on records vendor bills line by line, including:
- Exact item names
- Quantities
- Unit rates
- Parts and material details
- Returns and credits
- Vendor-specific purchasing history
Detailed tracking is useful for owners who want to monitor exact material costs, review purchasing patterns, analyze job profitability, or prepare the business for lending, investment, or a potential sale.
Why is detailed tracking an add-on?
The summarized method is faster and more efficient for routine bookkeeping. It provides reliable totals for broad categories such as chemicals, parts, and supplies.
The detailed method requires significantly more data entry and review because every vendor-bill line must be entered and classified individually. It provides greater visibility, but it also requires more bookkeeping time and labor. For that reason, detailed vendor-bill tracking is offered separately rather than included in the standard monthly package.
Summarized vs. detailed tracking
Summarized method — included by default
Vendor purchases are recorded in broader categories such as chemicals, parts, and supplies. This keeps the books streamlined while preserving meaningful financial information.
Detailed method — optional add-on
Vendor bills are recorded line by line so the business can see specific items, quantities, rates, returns, and vendor histories. This provides more granular information for cost control, job costing, due diligence, and management analysis.
Both packages include the Product and Service Detail Report separated by class for:
- Pool Maintenance
- Pool Repair
- Admin
The class-based report shows how revenue and costs are distributed across these operational areas. The optional detailed method adds item-level information within those categories; it does not replace the class-based reporting included in both plans.
